LC Travel Consultants LLC – Terms and Conditions

This document constitutes your Agreement with Christine Whirlow and LC Travel Consultants LLC, including all partner agencies and service providers with whom we book travel (“we,” “us,” or “our”).
Before we finalize arrangements for your trip, you are required to electronically sign and return this form, acknowledging that you have read, understood, and agree to the following terms and conditions on behalf of yourself and all members of your traveling party. A copy of these terms is also available for review on our website.

1. Agent for Suppliers
Christine Whirlow, doing business as LC Travel Consultants LLC, and any partner agencies act solely as sales agents for the airlines, hotels, car rental companies, tour operators, cruise lines, and other travel service providers (“Suppliers”) named in your itinerary or confirmation.
We are not responsible for the acts, errors, or omissions of any Supplier, nor for their failure to perform, provide refunds, honor future trip credits, or adhere to schedules. In the event of Supplier default, your sole recourse for recovery of funds shall be directly with the Supplier, any applicable insurance provider, or another responsible third party. We have no special knowledge of the financial condition of any Supplier and assume no liability for recommending a trip credit in lieu of a refund.

2. Review of Travel Documents Upon receiving your travel documents (tickets, confirmations, itineraries, etc.), you must review them immediately and notify us of any discrepancies. Suppliers may impose penalties or restrictions on changes, cancellations, or refunds.
We have no control over ticket face values, which may differ from the fares collected due to bulk fare arrangements or Supplier pricing policies.

3. Health Advisories, Including COVID-19 You acknowledge that choosing to travel is your personal decision and that you do so with full awareness of current and potential health advisories, including risks related to COVID-19 and other communicable illnesses.
We have no responsibility for any health-related entry, exit, or participation requirements imposed by governments, airlines, cruise lines, or other Suppliers, such as vaccination mandates, health forms, testing, face coverings, or quarantines.
For the most current regulations and advisories, please consult:
  • IATA Travel Centre: https://www.iatatravelcentre.com/international-travel-document-news/1580226297.htm
  • U.S. CDC: https://www.cdc.gov/travel

4. General Risks and Release of Liability
Travel involves inherent risks, including but not limited to acts of God, unsafe conditions, terrorism, pandemics, illness, weather events, and accidents. We have no control or special knowledge of such hazards and assume no responsibility for them. You hereby voluntarily assume all such risks and agree to release, discharge, and hold harmless LC Travel Consultants LLC, its owners, employees, affiliates, officers, directors, contractors, and partners from any and all liability, claims, or damages arising from or related to travel, whether known or unknown, including those arising from the acts or omissions of any third party.
For official travel advisories, consult:
  • U.S. Department of State: www.travel.state.gov
  • U.S. CDC: www.cdc.gov/travel

5. Travel Insurance
We strongly recommend purchasing comprehensive travel insurance, including trip cancellation and travel accident coverage. Unless a “Cancel for Any Reason” policy is purchased, most policies exclude coverage for epidemics or pandemics when official warnings are in effect.
We are not licensed insurance agents and cannot advise on policy terms or adequacy of coverage. Any representations regarding insurance benefits made by our staff are for general informational purposes only and are not binding.
By declining insurance, you agree to hold us harmless for any resulting losses or denied claims.

6. Insurance Declination, Supplier Terms, and Assumption of Risk
By signing this Agreement, you acknowledge that you have been advised of the availability and benefits of travel insurance, including coverage for trip cancellation, interruption, delay, medical expenses, and baggage loss or delay. Should you elect not to purchase travel insurance, you understand and agree that LC Travel Consultants LLC shall not be responsible for any financial loss, injury, damage, delay, or inconvenience resulting from events not covered by such insurance.
All travel arrangements are subject to the individual terms, conditions, and policies of the Suppliers providing them. Any change, cancellation, or modification to your itinerary is subject to the Supplier’s own rules, penalties, and refund policies, for which you are solely responsible. You acknowledge that Suppliers operate independently and that their contracts may be binding whether or not you have reviewed them directly.
LC Travel Consultants LLC makes no representations regarding the safety, accessibility, or suitability of any travel products, accommodations, or destinations for individuals with disabilities or specific health conditions. Travelers are responsible for evaluating their own physical capabilities and for making any necessary special arrangements prior to booking.
You acknowledge that participation in travel involves inherent risks, including but not limited to those associated with transportation, lodging, weather, political instability, illness, pandemics, and the actions or omissions of third parties. You voluntarily assume all such risks and agree to forever release, discharge, and hold harmless LC Travel Consultants LLC, its owners, employees, officers, directors, affiliates, agents, group leaders, guides, and subcontractors from any and all liability, actions, causes of action, suits, claims, or demands of any kind that may arise in connection with or as a result of your travel arrangements.

7. Booking and Payment
To initiate a booking, you must (a) agree to these Terms and Conditions, (b) submit the required deposits or professional service fees, and (c) provide valid payment authorization.

Quoted Prices and Availability:
All price quotes are subject to change until the required deposit is received and confirmed by the Supplier. Airline fares, hotel rates, and other travel service prices fluctuate based on availability, demand, or currency exchange. LC Travel Consultants LLC assumes no responsibility for changes in price prior to deposit or final payment.

Payment Authorization and Verification:
LC Travel Consultants LLC is not responsible for any transaction declined by a bank, card provider, or travel supplier, or for delays caused by verification issues. Temporary authorizations (“holds”) may appear on your account during processing and are governed by your financial institution’s policies.
By providing your payment information, you authorize LC Travel Consultants LLC to charge your account for all confirmed travel arrangements, service fees, and approved modifications related to the accepted trip. You further authorize LC Travel Consultants LLC to securely retain your payment information and charge the same card for future payments, balance due amounts, or Supplier-imposed price increases related to the accepted trip, unless you revoke authorization in writing.
We recommend using a credit card for your purchase so you may exercise your rights under the Fair Credit Billing Act if a Supplier fails to deliver the purchased services.
All professional service fees and “Plan to Go” deposits are non-refundable.

8. Travel Documentation
It is your sole responsibility to obtain and carry all required travel documents, including valid passports, visas, and other entry documentation.
Effective May 7, 2025, travelers within the United States must present a REAL ID–compliant driver’s license or another approved form of identification.
Passports should be valid for at least six (6) months beyond the date of entry to most countries.
All traveler information provided to LC Travel Consultants LLC must exactly match the identification used for travel, including full legal name, date of birth, gender, and passport or REAL ID details. LC Travel Consultants LLC is not responsible for any fees, penalties, or denied boarding resulting from incorrect or mismatched information provided by the traveler.
Each foreign country establishes its own entry and exit requirements. It is your responsibility to review each destination’s official government website to ensure compliance. LC Travel Consultants LLC does not make inquiries regarding a client’s criminal history or admissibility status.
We assume no liability for denied boarding, entry, or delays resulting from documentation issues, visa denials, or undisclosed legal circumstances.

9. Professional Service Fees
In most cases, LC Travel Consultants does not charge additional fees for land packages or cruises; however, certain stand-alone services may require non-refundable deposits or fees, unless booked as part of a package.

LC Travel Consultants LLC acts solely as an intermediary between you and travel Suppliers. If a Supplier fails to provide purchased services, your sole recourse is directly with that Supplier, insurance provider, or other responsible party.
You waive the right to initiate a credit-card chargeback or reversal against LC Travel Consultants LLC for non-performance, delays, or service issues caused by a Supplier, government action, or other third party. Any chargeback initiated in violation of this agreement will constitute a breach of contract, and you agree to reimburse LC Travel Consultants LLC for resulting fees, costs, or losses, including attorney’s fees.
